What information we collect about you
We collect information about you when you:
Email an enquiry through our website. If your enquiry doesn’t result in a reservation your contact details will be removed from our records at the end of the month in which you made the enquiry unless you have ‘opted in’ to receive information from us.
Telephone to make a reservation. We will take your name, billing address and email address, room preferences or special requests, telephone number and deposit payment information to secure your reservation.
Stay with us. We record your itemised spending and other expenses billed to your room account. Information particular to your stay may also be stored (i.e. special requests including any dietary or access requirements and service issues). The information specific to your stay is stored in the property management system and is combined with information from previous visits that you have made to our hotel. In addition, we may retain the content of any document (including letters, guest questionnaires, recommend a friend cards, electronic documents such as e-mails and other similar forms of communication) that you send to us before, during or following your stay.
We may also collect personally identifiable information about minors under the age of 18 years obtained as part of the guest reservation and registration processes, but always with the consent of such person’s parent or guardian.
How we use the information about you
We collect information about you to process your reservation and manage your booking. We will not share your information with any other company for their direct marketing purposes.
From time to time we like to update you with information about what is happening at the hotel and occasionally with offers you might be interested in. Therefore, you will receive marketing communications from us if you have:
1. Requested information from us
2. Stayed at the hotel in the last 10 years
3. Signed up to our newsletter on our website
4. If you have ticked the box on our guest questionnaire
You can ask us to stop sending you marketing messages at any time by emailing us at email@example.com or unsubscribe at the bottom of the marketing email.
If you opt out of receiving our marketing communications, we will still retain the necessary personal data provided to us if we formed a contract with you to provide a hotel booking or service.
Access to your information and correction
You have the right to request a copy of the information that we hold about you. Please note your enquiries will be received during UK office hours and we will aim to respond to your enquiry as soon as reasonably possible.
We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate.
